I want to show you how to create a dropdown menu in Google Sheets. It’s actually a lot easier than you might think, thanks to the handy built-in GUI.

The only thing you need to follow is a Google account and the ability to create new documents in Google Drive or Google Docs. That’s all, let’s get to work.

Sign in to your Google account and open Google Drive. Click New > Google Sheets to create a spreadsheet.

Click the cell in the spreadsheet for which you want to add a drop-down list, then click Data > Data Validation (Figure 1).

In the Data Validation window (Figure 2), you need to select List Items from the Requirements drop-down list and enter the items (separated by commas) in the text field to their right.

You can also check the box related to displaying the validation help text, as this will help the user; if they enter incorrect data, they will be warned.

Once you create a dropdown, it will appear in the worksheet with a down arrow. All the user has to do is click on the drop-down menu and choose from the options provided (Figure 3).

Because Google Sheets includes two methods for creating drop-down lists, the method you use to edit the drop-down options will be different. The following steps describe how to manually edit a list of typed data, and how to modify a list created from the contents of multiple cells. In any case, you’ll first need to open Google Sheets, and you’ll also need edit access to the table and cells you want to change.

Note: You can edit the drop-down list in Google Sheets on a desktop web browser or in the Google Sheets app on Android.

1. Click or tap to select one or more cells with data validation settings you want to change.

2. In the web browser, select Data | Validation data. In the Google Sheets Android app, click the vertical three-dot menu in the upper-right corner, then tap Data Validation.

3. In the web browser, edit the List of Items in the text box to the right of the Concept field (Figure A). Edit the text to add or remove items as needed, making sure to separate each item with a comma.

In a web browser, select one or more cells, then select Data | Validate data, and edit text in the Item List field. Select Save to apply your changes.

In the Google Sheets Android app, tap +Add, enter text to add the item, and tap the check mark to the right of the field when you’re done (Figure B). Repeat this process for each item you want to add. To delete an item, click the displayed item, then click the delete button.

4. When you have finished making changes, click or tap Save to apply the changes to the selected cells.

5. Click or click one of the modified cells to view the edited drop-down list, and verify that the edited content appears as expected.

2. Edit the contents of these cells as needed to modify the sub-items that appear (Figure C). After editing each cell, the data validation drop-down list will automatically display the new data when selected.

If your data validation pulls content from multiple cells, edit the cell contents range to change the options. (This does not change the content of previously entered data; it changes the options that appear for future edits or entries.)

3. After editing the cells, click or tap to view the drop-down list and make sure the contents are displayed correctly.

If the number of options you need to display changes, you need to change the size of the selected cells. For example, if the number of items is low, narrow the range to avoid empty options; or, if you need to increase the number of items, expand the specified range to ensure that all options are displayed.

3. In the Range field, change the range to display the sheet and cell containing the drop-down menu option you want (Figure D). For example, if the original range is “Sheet1!I26:I29”, you can modify it to “Sheet1!I26:I28” to reduce the range by one cell, or “Sheet1!I26:I30” to reduce the range by can add cells.

For data validation fields that depend on the contents of cells in a range, you may need to adjust the size when changing the number of options. For example, to add options, you can expand the field.

4. Click or tap Save to save the edited area. As usual, click or tap the changed cell to check if the changes appear as you want.
