Advanced Google Sheets Functions You Might Not Know (but Should)

You can add data validation to a Google Sheets cell in a desktop browser (such as Chrome on a laptop or desktop or Safari on iPadOS) or in the Google Sheets Android app. The Google Sheets iOS app supports selecting items from a list and validating data in a record, but does not include the ability to add new data values ​​to a cell.

You can also add drop-down options to a locally formatted Excel file using Google Sheets. Whether you open an XLSX file in Sheets—a desktop browser—or the Sheets Android app, the data validation feature is available just like it is in native Google Sheets. Your Excel file will retain its native XLSX format even after you edit it in Google Sheets. .

In both cases below, you need to open the Google page you want to edit and select the cell (or cells) you want to change.

The following steps provide a list of options that a person can choose from within the cell. You can enter a list of options with the data validation feature, or you can enter options into cells on a Google page and display the data validation feature in those cells.

How To Create Web Input Forms With Google Sheets

1. Data in the browser Select Verify data. In the Android Google Sheets app, click the three vertical dots menu (top right), then click Data Validation (Figure A).

4. If you select List of Items, type the dropdown options you want to display, each item is broken down sequentially. In the Android Google Sheets app, click the Add row button under the List of items option, then enter your list with each item broken down sequentially.

5. Check the Invalid Data option. Although the default is to display a warning, you can change it to reject when non-standard data is selected to ensure that the data in the cell is correct.

6. Optionally, you can select the check box next to the appearance and enter text explaining which cell entry is correct. In the Android Google Sheets app, move the slider under the form to the right, click Edit, enter text to explain which entry is correct, and click OK. If you don’t do this, when someone enters unvalidated information, the system displays the standard “There was a problem” message and displays the cell that violates the validation rules (Figure C).

Use Array Formulas With Google Forms Data To Automate Calculations

Open the Appearance option and add the validation help text (above). When people enter incorrect information, this text tells them how to correct the entry. Without opening the help text, a general message is displayed after the incorrect entry (below).
